The Genetic Counseling Administrative Coordinator is a high-level administrative role responsible for providing support to the Genetic Counselor Associates (GCAs) and Reproductive Genetic Specialists (Genetic Counselors) in in many key administrative functions, including: GC-waived process administrative duties, receiving gamete donor screening documents and genetic testing results, preparing documents prior to a donor’s family medical history evaluation with a Reproductive Genetics Specialist, assistance scheduling Genetic Interviews and monitoring calendars, obtaining and processing recipient and physician consent forms, managing donor and client records, and triaging inquiries. Participation in team meetings, performance/quality improvement projects, and other duties and/or projects that support the Reproductive Genetics team, as needed, and as assigned by the Manager.

Responsibilities

Clinical Functions (80%)

* Triages phone and email inquiries from clients, providers, donors, and staff
* Monitors department email groups to ensure timely responses
* Oversees receipt of genetic test results from various laboratory portals
* Assists with the progress of gamete donors through genetic evaluation and monitors appointment schedules
* Assist with ongoing gamete donor management activities including saving/filing donor updates, donor restrictions, client notifications, other chart documents, etc.
* Manages donor or client records for clinical team needs; ensures accuracy and completeness of documents
* Assists clinical team with special genetic testing and adverse outcome report activities including distributing, collecting, and filing/saving records
* Distributes, collects, and processes consent forms for clients

Reproductive Genetics Department projects and other duties including, but not limited to (20%)

* Participates in data collection for reporting purposes
* Supports administrative and clinical responsibilities related to commercial initiatives
* Assists with routine testing of internal software used by the department.
* Maintains supplies
* Other duties and projects as required

As business needs dictate, works extended hours to complete daily department goals or tasks to include mandatory overtime.

Qualifications

* Knowledge of and proficiency in Word, Excel, PowerPoint, and Microsoft Outlook
* Aptitude for learning and becoming proficient in the use of Navision or other computer software, as needed.
* Excellent customer service skills
* Excellent verbal and written communication skills
* High level of interpersonal skills to interact with clients, donor, peers and management in a compassionate and professional manner
* Strong attention to detail in composing and proofing materials
* Excellent organizational skills
* Ability to handle multiple tasks simultaneously
* Ability to maintain confidentiality
* Ability to work effectively from a remote setting and to sit for extended periods of time using computer equipment
* Ability to work well both independently, with little supervision, and in a team setting

Education:

* High School Diploma required; Bachelor’s Degree highly desired. Willing to consider someone pursuing a degree who demonstrates the level of customer service required in a fast-paced medical setting
* Willingness to complete a Genetic Counseling assistant course after 6 months – 1 year (typically 1 year) of successful service
