About the company: EA directly supporting a two-time founder. One company is a private equity real estate development firm and the other is a stealth-ish startup backed by top venture capitalists, including Y Combinator caliber VCs and investors. The company is NYC-based; however, the majority of the team is international (throughout Latam).

About the job: We are looking for an exceptional Executive Assistant who is highly organized, proactive, and detail-oriented to support our founding team and ensure the smooth operation of our growing startup. This is a remote position.

Responsibilities:

Requirements for Executive Assistant:

• Hours: Monday to Friday, 8 AM to 5 PM Eastern Time

• High level of English proficiency

• EA experience of at least two years

• Has supported a CEO or business owner

• Proactive • Internet Savvy

• Technology Savvy (i.e. AI)

• Great at figuring things out and eager to learn

• Organized

• Good Communication

Roles:

• Daily: Inbox Management (labeling, archiving, replying to emails across multiple accounts), Calendar Management (scheduling meetings, appointments, etc.), CRM Management (maintain and update the CRM), Health tracking (updating the CEO), Ad hoc tasks (research, purchasing of items, etc.), News (identifying relevant industry news publications, blogs, and datasets for tracking and monitoring investments and trends), Document administration (filing and document key items)

• Weekly: Bookkeeping (support in personal and company bookkeeping; reconciling, recording, tagging monitoring, and payments of invoices)

• As needed: Travel Management (booking flights, accommodations, activities, etc.), Financial Management (support in bookkeeping, taxes in collaboration with accountant and bookkeeping team), Research (conduct thorough research to support the CEO’s new business concepts and present findings clearly and concisely), Lead Generation (assist in finding leads and initial outreach on behalf of CEO)

Notes from CEO: Job is a mix of life errands/personal tasks (e.g., renewal of registrations, birthday planning, gift finding), standard EA role (management of email, calendar & travel when needed), and anything that helps support business operations (project management, maintaining reports, dashboards, research, etc.). CEO has two separate businesses that the EA will help support.
